Like many industries, we find ourselves with certain months of the year which are a little quieter. Lucky for us this falls into the summer holidays (YAY cries the office that get early finish Fridays and lunches out in the sunshine)… but people often ask what do you do between events.
So we asked the team, what they normally spend their summer downtime in the office doing…
During the busy months I often find myself creating a list of non-essential things to research or action “when I get time” and there is no time like the summer. The team would probably say I demand a big summer clean of the office, clearing out all the cupboards and getting organised for when the inevitable busy months come speeding back around.
As soon as one year finishes and we wrap up all of our 2023-24 events I get straight into planning the next cycle of events. I use the little downtime I have between event cycles to refresh and update any changes to branding, check and replenish our stock levels and following a debrief with the team on how we can improve our events going forward, implement any new ideas or suggestions!
When the office gets slightly quieter, I love getting out on venue site visits. For me, they are a great opportunity to get to know all our local event venues. Being at the venue in person not only helps to understand the layout, including the rooms, spaces, and capacities, but also see the facilities and catering options available.
It is also important that when going round the venue to consider the accessibility of the venue to ensure that it meets the needs of all our event attendees. Many of these aspects can't usually be found through online searches or information found on the venues website.
I also really enjoy building relationships with the onsite coordinators at the venues. Networking with them will help ensure that our event requirements are well understood and catered to, especially for repeat event bookings.
When summer finally arrives, I use this time to wrap up any loose ends from previous events, finishing off the administration and then start focusing on what we need for the next year. Planning for the following year of events also includes my personal development, such as, attending more networking events to develop my self-confidence with my event peers as well as create connections while I have a bit more time available. A double win is if it helps future venue sourcing by being introduced to venues I was unaware of that offer event facilities. My favourite thing to do is joining my colleagues in site visits, dipping myself into the culture of the events world.
Reflect on the year we have had. Full year debrief, evaluate each event and our role in their organisation. Critically review what didn’t go as expected and find areas we can improve on and be more efficient with – e.g.improve the business admin.
Oh and always makes time for an open water swimming session.
